Benefits Coordinator

 

Summary:
The Benefits Coordinator promotes and maintains internal and external customer satisfaction through friendly, effective, and efficient service. This role involves in-person, email, and phone communication. Responsibilities include research and analysis to provide current benefits information, as well as administration and coordination of employee benefit programs such as health, dental, vision, disability, life insurance, workers' compensation, accident, 401(k), and leaves of absence. The Benefits Coordinator contributes to the continuous improvement of HR programs through leadership, organization, teamwork, and support of both short- and long-term projects.

Key Responsibilities:

  • Maintain strict confidentiality

  • Schedule appointments with employees and external contacts

  • Conduct new employee orientations, including company culture, policies, job duties, safety, compensation, and opportunities

  • Coordinate and assist with open enrollment and benefits administration

  • Communicate effectively via phone, email, and in person

  • Serve as a point of contact for employees needing HR services

  • Work with third-party administrators to resolve claims and benefit-related issues

  • Review and document department voicemails

  • Follow up on time and attendance for employees on leave or workers' comp

  • Monitor leave programs to ensure legal compliance; review leave applications and develop employer responses

  • Send employer responses on time and follow up with employees on leave

  • Communicate with medical offices on behalf of employees when needed

  • Assist employees with benefits coordination while on leave, including premium collection

  • Ensure HIPAA compliance

  • Promote workplace health and wellness through program development, resource distribution, and training

  • Maintain proper documentation for hiring, performance, training, OSHA logs, workers' comp, and more

  • Accurately process employee record requests and subpoenas related to workers’ comp cases

  • Keep personnel files and leave/modified duty records current

  • Assist with interpretation of HR policies and procedures

  • Maintain strong vendor and external partner relationships

  • Research, analyze, and recommend changes to benefit plans and contracts

Requirements:

  • Bilingual (English and Spanish) – written and verbal proficiency required

  • Strong organizational, interpersonal, and communication skills

  • Ability to work independently and as part of a team

  • Dependable, punctual, and reliable

  • Effective time management and organizational abilities

  • Proficient in Microsoft Office (Word, Excel, Outlook)

  • Preferred: 2 years of office experience (ideally in HR or direct personnel relations)

  • Must be able to work in multiple environments, including office, factory, and warehouse settings
